Shopify Payments Activity Report: How to Reconcile Balances, Fees and Payouts

Use the Shopify Payments activity report to reconcile starting and ending balances, fees, payouts, holds and multi-currency activity.

The Shopify Payments activity report shows how money moved through your Shopify Payments balance during a selected date range and payout currency. It brings together the starting balance, gross activity, fees, payouts, net movement and ending balance, making it useful for month-end reconciliation and accountant handoff. It is not a revenue statement and it does not replace the Payouts page for investigating a specific bank deposit.

Use the report to explain balance movement across a period, then use Finance reports for sales and captured-payment analysis and the Payouts page for individual deposits. Compare the same dates, time zone and currency, and allow for the report’s three-day data delay before treating a difference as an error.

Last reviewed: August 31, 2026. Shopify released the activity report on August 22, 2026. Availability requires Shopify Payments and appropriate payout permissions.

What Is the Shopify Payments Activity Report?

The activity report is a period-level statement of balance movement inside Shopify Payments. It starts with the balance at the beginning of the selected period, lists activity that added to or reduced that balance, subtracts payouts sent to the bank and arrives at the ending balance.

You can open it from Finance > Documents > Shopify Payments activity report or from the Payouts area. Select a date range and payout currency, then review the on-screen summary and activity groups or export a PDF.

The accounting equation

At a high level, the report should reconcile as follows:

Starting balance + balance change from activity − payouts = ending balance.

The detailed presentation separates gross activity, fees and net amounts. Treat the report’s labels as balance movements, not as a profit-and-loss statement.

Best uses

  • month-end or quarter-end review;
  • explaining why the Shopify Payments balance changed;
  • documenting fees, refunds, disputes and holds;
  • reviewing activity before funds reach the bank;
  • producing a PDF for an accountant or audit file.

Requirements and Limitations

The report is available only to stores using Shopify Payments. The store owner or a staff member with permission to view payouts can access it.

It does not include every cost or payment flow connected to a Shopify store. Shopify documents these exclusions:

  • Shopify billing fees;
  • transactions processed by third-party payment processors;
  • third-party payment methods such as Authorize.net or Afterpay.

Shopify billing can include subscriptions, apps, shipping charges and other invoices that do not necessarily move through the Payments balance in the same way. Reconcile those from the appropriate billing documents.

Historical range

Shopify’s current instructions allow standard periods such as last month, three months, six months or twelve months. Custom date ranges are available from January 1, 2025 onward.

Three-day delay

The activity report can lag recent balance activity by three days. A report generated on the last day of the month may therefore be incomplete for the newest transactions. Document the extraction date and rerun it after the delay when finality matters.

How to Read the Activity Report Summary

Field Meaning Review question
Starting balance Shopify Payments balance at the beginning of the selected date range Does it agree with the previous period’s ending balance?
Gross activity Total balance activity before fees and payouts Which charges, refunds or adjustments created the movement?
Fees Fees deducted from the Payments balance Are processing, dispute and other fees classified as expected?
Payouts Funds transferred from the Payments balance to the payout bank account Do these align with deposits after bank timing is considered?
Net amount Net change after the report’s activity and payouts Can the movement be reproduced from the detailed groups?
Ending balance Balance at the end of the selected period Does it roll into the next period?

A balance is not the same as available cash in the bank. Pending processing, payout schedules, currency and holds can separate a transaction date from a deposit date.

What the Shopify Payments Activity Groups Mean

The Activity section groups balance transactions by type. Only groups relevant to the store and selected period appear.

Charges and refunds

Charges contain customer payments processed through Shopify Payments and their related processing fees. Refunds contain money returned to customers and related fee adjustments.

Disputes, reserves and holds

Disputes can include chargebacks, dispute holds and dispute fees. Reserves and Holds contains reserved-fund withdrawals, risk holds and releases. Held or reserved funds remain in the Shopify Payments account until released or paid out; Shopify explicitly warns that these amounts are not new revenue.

If a specific hold needs investigation, use the operational guidance in our Shopify Payments payout-hold guide. The activity report explains the balance movement but does not resolve the compliance or risk review behind a hold.

Managed Markets and Duties & Taxes

International activity can appear in Managed Markets and Duties & Taxes groups. Compare it with order and fulfillment records. For the customer-facing international flow, read our Managed Markets DDP guide.

Other documented groups

  • adjustments;
  • Shopify Capital;
  • Shop Pay Installments recovery;
  • internal transfers;
  • fees;
  • promotions and credits;
  • shipping;
  • Shop Cash;
  • Shopify Collective;
  • payouts;
  • other uncategorized activity.

Expand a group to inspect individual lines. Do not map the word “Other” automatically to an accounting account without understanding the underlying transaction.

Activity Report Versus Finance Reports and Payouts

Tool Primary question Typical use
Shopify Payments activity report How did the Payments balance move during this period? Period reconciliation, ending balance and PDF handoff
Finance reports What sales and payment activity occurred? Revenue, payments, taxes, discounts and financial analysis
Payouts page What is included in this particular bank deposit? Deposit-level investigation and transaction CSV export

These views can show different totals without any data being wrong. They group transactions by different events and dates. A sale can be captured in one period, included in a payout later and appear in the bank after another delay.

Revenue is not balance activity

The activity report reflects funds that moved through Shopify Payments. Shopify says it is not a revenue statement for accounting purposes. Revenue reporting starts from orders and sales, not merely from cash movement.

Payouts are not sales

A payout can combine charges, refunds, fees, disputes and adjustments from several transaction dates. Comparing gross sales for Monday with a Tuesday bank deposit is rarely a valid one-to-one reconciliation.

Month-End Shopify Payments Reconciliation Workflow

Step 1: Fix the period and currency

Use the same start date, end date, time zone and payout currency across every comparison. Record the report generation date because of the data delay.

Step 2: Tie opening and closing balances

Confirm that the current starting balance agrees with the preceding report’s ending balance for the same currency. Investigate gaps before reviewing individual activity.

Step 3: Review balance-change groups

Expand charges, refunds, disputes, holds, duties, shipping and adjustments. Save references for unusual or material items.

Step 4: Reconcile payouts

Use the Payouts page to match each deposit with the bank statement. Allow for bank processing time and weekends. Use transfer references when the bank needs to trace a payment.

Step 5: Reconcile fees

Compare processing and other Payments fees with the expected schedule. Keep Shopify billing fees separate. Our guide to Shopify fees per sale explains the main cost layers.

Step 6: Compare with Finance reports

Use Finance reports to reconcile sales, returns, taxes and payment methods. Explain timing differences rather than forcing the activity report to equal revenue.

Step 7: Approve and archive

Have the preparer and reviewer record completion, open exceptions and supporting files. Export the final PDF only after the period includes the expected delayed data.

How Multi-Currency Payouts Appear

Each payout currency has a separate activity report. If the store receives USD, GBP and EUR payouts, generate and reconcile each currency individually.

Do not add amounts in different currencies without an approved translation method and exchange-rate date. Currency conversion fees, presentment currency and payout currency can also explain differences between an order total and the bank amount.

Multi-currency checklist

  • Select the intended payout currency before export.
  • Use a separate reconciliation worksheet or ledger account per currency.
  • Match bank accounts and deposits in the same currency.
  • Record the exchange-rate policy used for consolidated reporting.
  • Review foreign-exchange fees separately from processing fees.

PDF Activity Report Versus Payout CSV

The PDF captures the report’s Summary and Activity sections for a selected period and currency. It is useful as an easy-to-read record and accountant handoff.

The payout transaction CSV is better when the finance team needs line-level analysis of a particular payout or deposit. It can be filtered, joined to order data and imported into accounting software.

Need Best starting format
Period opening and closing balance Activity report PDF
Board or accountant summary Activity report PDF plus reconciliation notes
Individual deposit investigation Payout details and CSV
Order-level matching Payout CSV plus order or Finance export
Evidence of unusual holds or disputes Activity report detail and transaction references

Exported files can contain sensitive financial and customer information. Store them only in approved finance systems with appropriate access.

Why the Activity Report Does Not Match Other Totals

Different date ranges or time zones

A report ending at midnight in one zone can exclude transactions included in another export. Confirm both boundaries.

Payout timing

The activity report uses balance activity for the selected period. Payout schedules and bank settlement follow separate timing.

Three-day data delay

Recent activity might not appear yet. Rerun the report after the documented delay before escalating.

Wrong payout currency

A currency-specific report cannot be compared directly with a consolidated sales total or another currency’s bank account.

Third-party payment methods

Payments processed outside Shopify Payments are excluded. Reconcile them through their gateway and bank records.

Revenue compared with cash movement

Sales reports follow orders, discounts and reversals. The activity report follows the Shopify Payments balance. Their purpose is different.

Genuine payout problem

If a specific expected deposit is absent after checking timing and bank details, use the Payouts page and follow our Shopify Payments hold troubleshooting process.

Recommended Finance-Team Controls

  • Restrict payout permissions to appropriate staff.
  • Document the standard period, currency and extraction date.
  • Separate report preparation from review for material stores.
  • Maintain a list of approved reconciling items.
  • Carry unresolved differences forward with an owner and deadline.
  • Archive the PDF, payout exports and bank evidence securely.
  • Reconcile Shopify billing and third-party gateways separately.
  • Review holds, disputes and adjustments rather than netting them invisibly.

If Shopify Payments itself is unavailable at checkout rather than merely difficult to reconcile, see how to restore a limited Shopify Payments checkout.
